About this tool

What the Material Lead Time Calculator does

Total material lead time is more than the supplier’s quoted production time: there is order processing, shipping, customs, receiving inspection and a safety buffer. Adding them up and subtracting from the need date gives the latest safe order date.

Formula

  • Total lead time = processing + production + shipping + inspection + buffer
  • Order-by date = need date − total lead time

Worked example

Using the starting values in the calculator above:

Input Value
Date materials are needed on site 2027-03-01
Order processing and approval 3 days
Supplier production 21 days
Shipping and customs 10 days
Receiving and inspection 2 days
Safety buffer 5 days
Result Value
Latest order date 2027-01-19
Total lead time 41 days
Days from today until the order date 96

How to read the result

Supplier quotes are often in working days; convert to calendar days and include holidays at origin, such as factory shutdowns.

Order long-lead items first in a project schedule; they set the critical path.
