About this tool
What the Restricted Fund Tracker does
Restricted funds must be spent on their stated purpose, often within a set period. Comparing the share spent with the share of time elapsed flags funds that are underspent (risk of returning money) or overspent, and shows the monthly burn needed to finish on time.
It also works as a restricted fund calculator or a grant spend down calculator.
Formula
- Remaining = amount − spent
- Monthly needed = remaining ÷ months left
- Underspent when share spent trails time elapsed by more than 10 points
Worked example
Using the starting values in the calculator above:
| Input | Value |
|---|---|
| Restricted funds | 3 entries |
| Result | Value |
|---|---|
| Total restricted balance | $225,000 |
| Combined monthly spend needed | $18,056 |
| Share spent | 45.1% |
| Funds underspent for time elapsed | 1 |
How to read the result
Talk to funders early if a grant is underspent; many will approve a no-cost extension or budget change.
Release restrictions in your accounts as qualifying expenses are incurred.
