About this tool
What the Event Day Timeline Builder does
A run-of-show lists every segment of the day with start and end times. Starting from the first segment and adding durations plus buffers shows whether the plan fits the venue hours and where the schedule is tight.
It also works as a wedding day timeline calculator or a run of show builder.
Formula
- Each segment starts when the previous one ends plus the buffer
- Finish = start time + all segment minutes + buffers
Worked example
Using the starting values in the calculator above:
| Input | Value |
|---|---|
| Start time (24-hour, e.g. 14:00) | 14:00 |
| Buffer between segments | 10 minutes |
| Segments | 7 entries |
| Venue must close by (24-hour) | 23:30 |
| Result | Value |
|---|---|
| Finish time | 23:00 |
| Total length | 9 hours |
| Minutes before the venue closes | 30 |
How to read the result
Photos, speeches and guest movement almost always run long; buffers protect the end of the night.
Share one timeline with every vendor so setup, meals and music cues line up.
