About this tool

What the Vendor Deposit Timeline Calculator does

Event vendors usually take a deposit on booking and the balance a set number of days before the event. Listing every vendor with its deposit and final payment date shows how much cash is needed and when, so payments do not bunch up in the final weeks.

Formula

  • Deposit = contract value × deposit %
  • Balance = contract value − deposit
  • Balance due date = event date − days before

Worked example

Using the starting values in the calculator above:

Input Value
Event date 2027-06-12
Vendors 5 entries
Result Value
Total vendor contracts $30,600
Deposits due on booking $9,010
Balances due before the event $21,590
First balance due 2027-05-13

How to read the result

Read cancellation and refund terms before paying deposits; many are non-refundable.

Paying by credit card can add protection, but check for card surcharges.
