About this tool
What the Therapist Overhead Break-even Calculator does
Private practice therapists pay rent, insurance, records software, continuing education and marketing before they earn anything. Dividing monthly overhead by the net fee per session gives break-even sessions; adding target income shows the sessions needed for the practice to pay you.
Formula
- Net per session = fee × (1 − processing)
- Break-even = overhead ÷ net per session
- Target = (overhead + take-home ÷ (1 − tax)) ÷ net per session
Worked example
Using the starting values in the calculator above:
| Input | Value |
|---|---|
| Monthly overhead | $2,800 |
| Average fee per session | $140 |
| Payment processing and billing | 4% |
| Target monthly take-home | $6,000 |
| Tax rate | 25% |
| Working weeks per month | 4.2 |
| Result | Value |
|---|---|
| Break-even sessions per month | 21 |
| Sessions for target income per month | 81 |
| Sessions per week needed | 19.1 |
How to read the result
Shared office space and part-time sublets can cut overhead early in private practice.
Raising fees modestly often reduces the sessions needed more than cutting costs.
