About this tool

What the Nurse Staffing Calculator does

Inpatient units plan staffing with nursing hours per patient day (HPPD): the nursing hours each patient needs in 24 hours. Census × HPPD gives total nursing hours, which converts into nurses per shift and full-time equivalent (FTE) positions once leave and non-productive time are allowed for.

Formula

  • Nursing hours per day = census × HPPD
  • Nurses per shift = daily hours ÷ shifts per day ÷ shift length
  • FTEs = daily hours × 365 ÷ (FTE hours × (1 − non-productive time))

Worked example

Using the starting values in the calculator above:

Input Value
Average daily census 28
Nursing hours per patient day 8
Shift length 12 hours
Hours per FTE per year 2,080
Non-productive time (leave, training) 12%
Required patients per nurse (optional) 5
Result Value
Nurses per shift (HPPD method) 9.3
FTEs required 44.7
Nursing hours per day 224
Nurses per shift at the ratio 6

How to read the result

Where staffing ratios are mandated, the ratio sets the minimum regardless of HPPD.

Acuity varies by shift and day; skill mix and acuity tools refine these averages.

Questions about this tool

The things clients actually want to know — costs, timelines, ownership and what happens after launch.

Nursing hours per patient day: total nursing hours divided by patient days.

Roughly 4.2 to 5 FTEs per 24/7 position, depending on leave and non-productive time.

It depends on unit type and local law; ICUs typically need far fewer patients per nurse than medical-surgical units.
