About this tool

What the Event Venue Capacity Calculator does

Venue capacity depends on the layout. Standing receptions need the least space per person; banquet and classroom layouts need much more. Subtract space for the stage, dance floor, buffet and bar first, then divide by the space per person for each layout.

Formula

  • Usable area = room area − reserved space
  • Capacity = usable area ÷ space per person for the layout
  • Never above the legal occupancy limit

Worked example

Using the starting values in the calculator above:

Input Value
Room area 3,000 sq ft
Space for stage, dance floor, buffet and bar 600 sq ft
Fire code occupancy limit (if known) 0
Result Value
Banquet capacity 200
Standing reception capacity 300
Theatre capacity 240
Usable area 2,400

How to read the result

The fire code or licensed occupancy limit always overrides space calculations.

Allow extra space for accessibility routes, photographers and service staff moving between tables.
